Cancellation Policy

Last updated at: August 28, 2024

Plaxonic recognizes that client needs and circumstances can change, necessitating the cancellation of previously arranged services. Our Cancellation Policy is designed to accommodate these changes in a manner that is equitable for both the client and the company, providing clear guidelines on the permissible conditions, associated fees, and procedural steps for cancelling services.

Scope and Applicability

This policy applies to all service engagements contracted with Plaxonic, encompassing a broad spectrum of offerings including, but not limited to, technology consulting, project management, and digital transformation services. It outlines the rights and responsibilities of both parties regarding the cancellation of services before their completion.

Conditions and Timing of Cancellations

Clients may cancel their service engagement without any financial liability if such cancellation occurs within twenty-four (24) hours of the initial agreement or payment, whichever comes first. This grace period is intended to provide clients with sufficient time to reconsider their engagement without penalty.

If a cancellation request is made after the twenty-four-hour grace period but before the commencement of the service, a cancellation fee may be imposed. The specific fee and the conditions under which it applies will depend on the nature of the service, the resources allocated, and the potential impact on scheduling. Details of these fees are clearly communicated at the time of booking and are part of the service contract.

Cancellations received after the service has commenced are generally subject to the full service fee, reflecting the costs and resources committed to the project. Exceptions to this policy may be considered under extraordinary circumstances, such as unforeseen legal or regulatory changes affecting the client’s operations, severe economic downturns, or other significant events beyond the control of either party.

Cancellation Procedure

To ensure an orderly and clear cancellation process, clients are required to follow the steps outlined below:

  • Clients must submit a written cancellation request through the official communication channels established by Plaxonic The request must include the client’s contact information, details of the service engagement, and the reasons for cancellation.
  • Upon receipt of the cancellation request, it will be reviewed by our client service management team to verify the timing and legitimacy of the request based on the terms of the engagement.
  • The client will receive a formal acknowledgment of the cancellation request, along with information regarding any applicable cancellation fees. If applicable, these fees will be clearly itemized and explained.
  • Depending on the conditions of the cancellation, the resolution may involve the refund of any prepaid fees minus cancellation charges, or simply the cessation of billing and service delivery.

Special Considerations

Some services may be designated as non-cancellable due to their specific nature or the significant upfront costs involved. These exceptions will be clearly stated in the service agreement and discussed during the engagement process to ensure client awareness and agreement.

Policy Review and Amendments

This Cancellation Policy is subject to periodic review and potential amendments to better align with industry practices, regulatory requirements, and the operational policies of Plaxonic Clients are encouraged to review this policy periodically to stay informed of their rights and responsibilities when engaging with our services.

Refund Policy

Last updated at: August 28, 2024

Plaxonic upholds a principled approach to refunds, ensuring that all transactions adhere to high standards of fairness and transparency. This Refund Policy specifies the conditions under which refunds may be issued, the process for requesting refunds, and the responsibilities of both the client and the company in such situations.

General Principles of Refunds

The Refund Policy of Plaxonic is applicable to all forms of engagements, including but not limited to, consulting services, software development projects, and managed IT services. This policy is integral to our commitment to client satisfaction and is designed to address and resolve legitimate grievances related to the non-fulfillment of contractual obligations by Plaxonic.

Eligibility Criteria for Refunds

Refunds may be requested under several circumstances, which include, but are not limited to, the following:

  • If Plaxonic fails to commence or deliver the service within the agreed-upon timeline without a valid reason, the client is eligible to request a full refund of any fees paid in advance.
  • If the service delivered significantly deviates from the specifications outlined in the contract and this deviation adversely affects the client’s business operations, a refund may be deemed appropriate.
  • In cases where services are cancelled in accordance with the established Cancellation Policy, and a refund is explicitly allowed under the terms of that cancellation, clients may be entitled to a partial or full refund depending on the specifics of the cancellation terms.

Procedures for Requesting Refunds

To facilitate a structured and efficient refund process, clients are required to adhere to the following procedures:

  • Clients must submit a formal refund request in writing to the designated customer service or finance department within thirty days from the date of service delivery or cancellation. The request should include detailed reasons for the refund, accompanied by any pertinent documentation that can substantiate the claims made.
  • Upon receipt of the refund request, it will be subjected to an initial review to determine its validity based on the terms of the service contract and the nature of the complaint.
  • If the initial review warrants further investigation, the request will be escalated to a specialized team comprising members from the service delivery and finance departments. This team will conduct a comprehensive evaluation of the service provided, reviewing all relevant communications, service delivery reports, and client feedback.
  • The decision regarding the refund will be made based on the findings of the detailed investigation. This decision will be communicated to the client within ten business days of the completion of the investigation.
  • If a refund is approved, the amount will be processed and credited to the original method of payment used by the client, unless otherwise agreed. The refund process will typically be completed within ten business days following the decision.

Limitations and Exceptions

Refund requests must be made within thirty days from the delivery of the service or the occurrence of the event giving rise to the request.

In cases where only a portion of the service is found to be unsatisfactory, a partial refund may be offered, reflecting the proportion of the service that was not delivered as per the contract specifications.

Certain services may be designated as non-refundable due to their specific nature. These exceptions will be clearly stated in the service agreement to ensure transparency.

Policy Review and Modifications

This Refund Policy is reviewed regularly and may be updated or modified to align with changes in regulatory requirements, industry standards, or corporate policies. Clients are encouraged to review this policy periodically to ensure they remain informed of any changes that might affect their rights or obligations.

By establishing clear guidelines and procedures for handling refunds, Plaxonic reinforces its commitment to ethical business practices and client satisfaction, ensuring that all parties have a clear understanding of the steps involved in resolving financial disputes related to service delivery.
